Privacy Policy
Effective 25 September 2026.
This policy explains how Rednow Technologies Limited ("Rednow", "we", "us"), 18 Mallow Street, Limerick, V94 N12Y, Co. Limerick, Ireland, handles personal data when you use the Overworldview Support website and service (the "Service"). We are established in Ireland and follow the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.
1. Two roles
- As a controller, we decide how to use the data of merchants and their staff: application and account details, billing information, and how people use our website and console.
- As a processor, we handle the data of a merchant's own customers ("End Customers"), such as chat messages, phone numbers, call recordings, and transcripts, only on behalf of and on the instructions of that merchant. The merchant is responsible for telling its customers how their data is used. If you are an End Customer and want to exercise your rights, please contact the merchant you dealt with; we will help them respond.
2. What we collect
- Merchant applications and accounts: company name, addresses, registration details, business licence or registration certificate, names and contact details of the legal representative and administrators, chosen username, a hashed password, the network address and browser details used when applying, and the date and version of the terms accepted.
- Billing: top-up and usage records. Card and wallet details are handled by our payment provider, not by us.
- Service content processed for merchants: documents merchants upload; messages, files, and phone numbers that End Customers submit; recordings and transcripts of telephone calls; and records of AI replies.
- Technical data: server logs and security logs, such as network addresses and request times.
3. Why we use it, and our legal bases
- To review applications, create and run accounts, and provide the Service (performance of a contract, and steps before entering into one).
- To verify businesses, prevent fraud and abuse, and secure the Service (our legitimate interests, and legal obligations).
- To bill for use, keep accounting records, and meet tax and other legal duties (contract and legal obligation).
- To communicate with you about your application, account, and service changes (contract and legitimate interests).
- To process End Customer data for merchants (as their processor, on their instructions).
We do not sell personal data, and we do not use End Customer data to advertise to anyone.
4. Who receives data (subprocessors)
We use the following categories of providers. Each is bound by a contract that requires appropriate protection of the data.
- AI providers: OpenAI (United States) for AI replies and voice conversations, and Alibaba Cloud Model Studio (which may process data on servers in the People's Republic of China) for document analysis and, where selected, AI replies.
- Hosting and infrastructure: cloud servers located in the United States.
- Telephony providers: carriers and voice-over-IP providers that connect telephone calls.
- Email delivery: Google (for notification emails).
- Payments: the payment provider that collects top-ups on our behalf.
- Professional advisers and authorities, where we are legally required or need advice to protect our rights.
5. International transfers
Some providers are located outside the European Economic Area, including in the United States and the People's Republic of China. Where required, we rely on safeguards such as the European Commission's standard contractual clauses and, where applicable, an adequacy decision. You can ask us for information about the safeguards in place.
6. How long we keep data
- Telephone call recordings are deleted automatically after 90 days unless we tell merchants otherwise. Transcripts and chat records are kept while the merchant's account is active, and afterwards for as long as needed to close the account and meet legal duties.
- Application information and business documents are kept for as long as needed for verification, fraud prevention, and legal compliance.
- Billing records are kept for the period required by tax and accounting law.
- Security logs are kept for a limited period.
7. Security
We use measures appropriate to the risk, including encrypted connections, hashed passwords, access controls that limit who can see business documents, and monitoring. No system is perfectly secure; if a breach affects your data, we will notify the people and authorities that the law requires.
8. Your rights
Under the GDPR you may have the right to access your personal data, correct it, delete it, restrict or object to its use, receive it in a portable format, and withdraw consent where we rely on it. To exercise these rights, email us at the address below. You also have the right to complain to the Irish Data Protection Commission (dataprotection.ie) or to your local supervisory authority.
9. Cookies
We use only the cookies that are strictly necessary to keep you signed in to the console. We do not use advertising or tracking cookies.
10. Children
The Service is for businesses and is not directed at children.
11. Changes
We may update this policy. We will post the new version here and change the effective date, and we will tell merchants about material changes.
